How to chase overdue invoices without sending anything you haven't approved

Chasing payment is routine work with real consequences: the wrong tone or the wrong amount costs you a customer. Kaer does the routine part, finding what's overdue and drafting each reminder, and every message waits for your approval.

Step by step

How to do it

  1. Give Kaer the list

    In a Work chat, ask: “find every invoice more than 30 days overdue”. If your invoices live in QuickBooks or Xero, Kaer opens the site in its own browser and you sign in when it asks. Or attach the export: .xlsx, .csv and .tsv files work.

  2. Say how firm to be

    Tell it your rules: a friendly nudge at 30 days, firmer at 60, and anyone it should leave to you. It drafts from what you tell it and from the business context you've given Kaer.

  3. Read each draft

    Each reminder appears in the chat as a card, “Kaer wants to send mail”, with the recipient, subject and message. Ask for changes in the chat.

  4. Approve, then send

    Click Approve send on the ones you're happy with, or Deny. Approving records your OK; then tell Kaer to send them. If you connected Gmail, turn on Enable Gmail sending under the connector's optional write permissions first.

  5. Make it a weekly job

    Once a run works, turn it into a workflow so the chase happens every week, with the approval step kept in.

Questions

Will Kaer send reminders on its own?
Not unless you set it up to. In a chat every message waits for Approve send. In a workflow you decide which steps run unattended and which wait for a person.
Does it work with my accounting software?
QuickBooks and Xero: Kaer works them through its own browser, with you signing in. Stripe is planned. Any system you can export from works too: attach the spreadsheet.
