For agencies

An AI assistant to manage client inboxes.

To manage client inboxes with AI, connect each mailbox to Kaer. It sorts what arrives, sums up what is left and drafts replies from that client's facts. Nothing is sent until someone on your team approves it, unless you switch on auto-replies yourself. Start with one client and one mailbox.

What does Kaer do in a client inbox?

It does the reading and the first draft. Your account lead keeps the last word on anything a client's customer will see.

  • Sorts what arrives

Files receipts, newsletters and automated notices out of the way, so the inbox holds the messages someone needs to answer.

Waits for you: nothing. Filing sends nothing.

  • Writes the morning summary

Sums up what came in overnight for each client and what is still unanswered, so your lead starts with a list instead of an unread count.

Waits for you: nothing. It reads and reports.

  • Drafts from the client's facts

Uses the prices, policies, opening hours and past answers you gave Kaer for that client, in the tone you describe.

Waits for you: every reply, until you switch on auto-replies for a kind of message.

  • Chases threads that went quiet

Finds messages waiting on your side and promises nobody followed up, then drafts the next message.

    Waits for you: every follow-up.

  • Offers times from the thread

When someone asks to meet, the Diary agent checks the calendar and drafts a reply with the free slots in it.

Waits for you: the reply with the times in it.

How do you set it up for one client?

Set up one client first. Each one after that repeats the same four steps.

  1. 01Give the client a workspace

Every paid plan includes unlimited workspaces. Invite up to 3 people into each one as an admin, member or viewer.

  2. 02Connect the mailbox

Start a Kaer mailbox on the client's domain, or connect the one they have over IMAP with an app password from their provider.

  3. 03Add the client's facts

Prices, policies, tone of voice and who handles complaints. Write it the way you would brief a new hire.

  4. 04Approve, then relax the rules

Approve or edit every draft at first. When a type of message is always right, switch on auto-replies for that type alone.

Which mailboxes does it work with?

Mailboxes hosted by Kaer, Gmail through a direct connection, and any mailbox that accepts an IMAP app password. Test each one before you promise it to a client.

  • A Kaer mailboxHosted by Kaer

Runs on the client's domain. If that domain is on Cloudflare, Kaer sets up the email routing for you.

  • The mailbox they already haveIMAP

Mail stays where it is and Kaer works on it from there. The provider has to issue an app password.

  • Microsoft 365Forward to Kaer

These mailboxes often do not allow IMAP app passwords. Test yours, or forward the client's mail to a Kaer mailbox.

  • GmailDirect connection, in beta

An agent can read through the Google connection. Sending needs Enable Gmail sending switched on, and then waits for approval, the same as Kaer Mail.

What still needs a person?

Anything you would not hand to a new starter on their first day.

  • Sending

Email from Kaer Mail or Gmail is held with a preview until someone approves or edits it.

  • Complaints and legal letters

Tell Kaer which subjects and senders to leave alone, and it keeps them out of its drafts for a person to answer.

  • A record for the client

Each task keeps the steps it took and the tools it used, so you can see how a reply was reached.

Questions

Can an AI assistant answer client emails on its own?
Only if you let it. By default Kaer drafts and a person approves. You can switch on auto-replies for routine messages and leave everything else waiting.
Can I run several client inboxes from one account?
Yes. Every paid plan includes unlimited workspaces, so each client can have its own, with its own mailbox and up to 3 invited people.
Does Kaer work with Gmail and Outlook?
Gmail connects directly, in beta. Other providers connect over IMAP with an app password. Microsoft 365 mailboxes often do not allow that, so test the connection, or forward that mail to a Kaer mailbox.
How should I keep clients separate?
Give each client its own workspace, mailbox and written brief, and invite only the people on that account. Keep approving drafts until you trust them: that step is where a wrong fact gets caught.
What does it cost?
Starting is free and needs no card, and the free Starter plan is just you. Paid plans start at $9.99 a month and each includes unlimited workspaces, so a new client does not add a workspace fee. The pricing page shows the usage each plan covers.
