For booking-heavy businesses

AI for Calendly and booking follow-ups.

Kaer handles booking follow-ups by reading the enquiries and confirmations that reach your inbox, sending your booking link, drafting reminders and chasing no-shows. It connects to Google Calendar, in beta, and works Calendly in its own browser. Replies wait for your approval until you switch on auto-replies for the routine ones.

What does Kaer do around a booking?

It handles the messages either side of the appointment, where a booking tool stops.

  • Answers the enquiry

Replies to “is Thursday free?” with your Calendly link or two free slots from the calendar.

    Waits for you: the reply.

  • Handles the reschedule

Reads “can we move to next week?”, finds a new slot and drafts the answer.

    Waits for you: the reply.

  • Drafts the reminder

Drafts a note the day before with the address and anything the person should bring.

Waits for you: the reminder, unless you let routine ones go automatically.

  • Chases no-shows

When someone misses an appointment, it drafts a short message offering a new time.

    Waits for you: every message.

Do you still need Calendly's own reminders?

Keep them for fixed messages at fixed times. Hand Kaer the replies that someone has to read first.

  • A reminder 24 hours beforeCalendly

Calendly Workflows send this on the Standard plan and above, so there is no need to hand it over.

  • “Can we do Thursday instead?”Kaer

Someone has to read it, check the diary and answer.

  • A no-showKaer

The right message depends on who it was and what they booked.

  • An enquiry with no booking linkKaer

People who email or fill in a form never see your Calendly page unless someone sends it.

  • A booking system with no integrationKaer

If it works in an ordinary browser, Kaer can sign in and use it.

How do you set it up?

Connect the inbox and calendar, write down your rules and approve everything at first.

  1. 01Connect mail and calendar

Connect Google Calendar, then a Kaer mailbox or your own over IMAP.

  2. 02Give it your booking rules

Hours, gaps between appointments, who can book what, and your Calendly link.

  3. 03Add the messages

Your confirmation, reminder and no-show wording, in your own voice.

  4. 04Let routine ones go

Approve everything at first. Then switch on auto-replies for the messages that never need changing.

Which businesses is this for?

Any business where a missed follow-up means an empty slot.

  • Real estate and letting agents

Viewing requests, confirmations and second viewings.

  • Salons, studios and trades

Appointments, reminders and the gaps a cancellation leaves.

  • Consultants and coaches

First calls, reschedules and the follow-up after each one.

Questions

Does Kaer integrate with Calendly?
There is no direct connection. Kaer signs in and works Calendly in its own browser, and reads your diary through the Google Calendar connection, which is in beta.
Does it work with other calendars?
Google Calendar connects directly. Other calendars need Kaer's browser, so test yours in a chat first.
Can it book appointments without me?
It can put bookings into free slots. The emails that confirm them wait for you, unless you switch on auto-replies for routine ones.
What about my booking system?
If it works in an ordinary browser, Kaer can sign in and use it. You type the password yourself, and a click it recognises as paying or booking waits for your approval.
