For service business founders

An AI assistant for service business founders.

Founders of service businesses use Kaer to turn the spreadsheets that run the company into working tools, and to hand over the admin around them. Describe a tool in plain words, check a live preview and publish it on its own address. Enquiries, quotes and invoice chasing can run from the same account.

What should a founder build first?

The sheet your team argues about. If two people keep overwriting each other, that is the one.

  • A job tracker

One view for the office and one for the people on site.

  • A quote calculator

Your rate card and minimums in a form, so every quote comes out the same way.

  • A booking form

Clients pick a slot, and you see every booking in one calendar.

  • A client page

A simple page where a client can see where their job has got to.

What can run while you are on a job?

The admin that piles up when you are out doing the work.

  • New enquiries

Mail reads each one and drafts an answer from your prices and policies.

Waits for you: the reply, until you switch on auto-replies.

  • Quotes that went quiet

Finds the quotes nobody answered and drafts a short follow-up.

    Waits for you: every follow-up.

  • The diary

Offers times, books them and drafts the reminder.

    Waits for you: the emails.

  • Overdue invoices

Finds what is overdue in QuickBooks or Xero, in its own browser, and drafts each reminder.

    Waits for you: every reminder.

What stays with you?

The decisions that set the direction of the business.

  • Price

Kaer quotes from your rate card and leaves discounts to you.

  • Who you work with

Kaer can research a prospect. Taking them on is your decision.

  • What gets published

Nothing goes public until you click Publish, and you can Unpublish at any time.

How do you start without a technical hire?

Pick one spreadsheet, and one person who will use the result.

  1. 01Find the worst sheet

Choose the one that causes the most trouble this month.

  2. 02Start a Build chat

Attach the file and say who uses it and what they need to do.

  3. 03Test it with one person

Share the Preview with whoever uses the sheet most, and ask for changes in the chat.

  4. 04Publish and retire the sheet

Publish it, move the team over and stop editing the old file.

Questions

Do I need a technical co-founder?
Not for internal tools. You describe what you need and review the preview, and Kaer writes and hosts it. If you hire engineers later, an agent with GitHub access can open pull requests for them to review.
What will it cost to run?
Starting is free and needs no card. A published app is billed by the hour while it runs and sleeps after ten minutes unused. The usage rate card lists the current rate.
Is my business data safe in a tool Kaer builds?
Nothing is public until you click Publish, and you choose whether it shows in search results. Read the security page for how Kaer handles your data, and test the sign-in in Preview.
