For finance managers

An AI assistant for small business finance.

Finance managers at small businesses use Kaer for the admin around month end: overdue invoices, missing receipts, payout matching and the month-end pack. It works from your exports, lists what does not agree and drafts the reminders. You approve every message and post every entry yourself.

Which finance jobs suit Kaer?

Repetitive matching and chasing, where a person checks the result.

  • Payout matching

Breaks each Stripe payout into its charges, fees and refunds and lists what does not agree with your books.

Waits for you: nothing. It reads and reports.

  • Overdue invoices

Finds what is overdue and drafts each reminder, firmer as an invoice ages, following the rules you give it.

    Waits for you: every reminder.

  • Missing receipts

Works out what is missing and drafts a note to the person who has it.

    Waits for you: every email.

  • Supplier invoices

Signs in to supplier portals, downloads the month's invoices and files them in Google Drive.

Waits for you: nothing. Filing sends nothing.

  • The month-end pack

Assembles the same report the same way each month and drafts the commentary for you to correct.

Waits for you: the pack, before it is sent.

What does month end look like with Kaer?

The matching is done before you sit down, so your time goes on the exceptions. Here is an example, built from the jobs above.

  • ExportsDay one

Stripe and QuickBooks exports go in, and the payout matching runs.

  • ExceptionsDay one

You get a short list of what does not agree, and you start there.

  • ChasingDay two

Notes for missing receipts and reminders for late invoices are drafted for you to approve.

  • EntriesDay three

You post the corrections yourself and close the period.

  • PackDay four

The month-end pack is assembled, and you correct the commentary before it goes out.

What should finance keep?

Anything that changes the books, moves money or carries your signature.

  • Posting entries

Work from exports and Kaer never touches your ledger. In its browser it stops before a click that pays, and other steps you ask for run to the end, including entries.

  • Payments

Paying, refunding and transferring get an Approve card through any tool.

  • Judgement

Provisions, write-offs and tax treatment stay with you and your adviser.

  • Sign-off

Kaer prepares the pack. You are the one who signs it.

How do you build trust in the numbers?

Test it on a closed month, where you already know the answer.

  1. 01Use a closed month

Take one you have already reconciled by hand.

  2. 02Run it read-only

Attach the exports and tell Kaer to change nothing.

  3. 03Compare the lists

Check Kaer's exceptions against what you found yourself.

  4. 04Write down the rules

Add each difference to its instructions, then run the live month.

Questions

Can Kaer make payments?
Only with your approval. Paying, refunding and transferring get an Approve card through any tool, and the model cannot approve its own request.
Does Kaer connect to my bank?
There is no direct bank connection. Attach a statement export. Some banks block automated browsers, and Kaer hands control back to you when one does.
Can an auditor see what Kaer did?
Each task keeps the steps it took and the tools it used, so you can see how a result was reached. Keep your own working papers as you do now.
